IM Gears Private Limited (“IM Gears”, “we”, “us”, “our”) operates the websites imgears.com and imgearsindia.com and is the controller responsible for personal data described in this policy.
1. Who we are
- Registered office: 235 1A 2C Vengaivasal Main Road, Madambakkam Post, Selaiyur, Chennai 600073, Tamil Nadu, India
- Corporate identity number: U35999TN1995PTC030820
- Privacy contact: [email protected]
- Data protection and grievance contact: V Annathurai, [email protected], +91 44 2278 0085
2. Scope
This policy applies to both of our websites, imgears.com and imgearsindia.com. It covers personal data we collect through those sites, our LinkedIn Company Page and LinkedIn advertising (including Lead Gen Forms), email communications, trade shows and enquiry forms, and business dealings with customers, suppliers and prospects. It does not cover employee or applicant data, which is handled under a separate notice.
We sell business-to-business products. We do not knowingly collect data from consumers acting outside a professional capacity, and we do not sell personal data.
3. Personal data we collect
a. Data you provide directly Name, job title, employer, business email, business phone, country/region, and the content of your enquiry — submitted through our contact forms, RFQ forms, newsletter sign-up, email, or in person at exhibitions.
b. Data collected automatically Our web hosting provider records standard server log data: IP address, device and browser type, operating system, referring URL, pages requested and timestamp. This is used for site security and stability. We do not use analytics, advertising or tracking technologies on our websites (see Section 5).
c. Data received from LinkedIn and other third parties When you submit a LinkedIn Lead Gen Form on one of our advertisements, LinkedIn shares with us the fields you chose to submit — typically first and last name, email address, job title, company name, company size, industry, and country. We also receive aggregated, non-identifying campaign performance data from LinkedIn.
4. Why we use your data, and our legal basis
| Purpose | Legal basis (GDPR/UK GDPR) |
|---|---|
| Responding to enquiries, quotations and RFQs | Contract / steps prior to contract |
| Managing customer, supplier and partner relationships | Contract; legitimate interests |
| Sending marketing emails, capability updates and event invitations | Consent, or legitimate interests for existing B2B customers where permitted |
| Running and measuring LinkedIn advertising campaigns | Legitimate interests in B2B promotion |
| Site security and fraud prevention | Legitimate interests |
| Export control, sanctions screening and quality/traceability records | Legal obligation |
| Meeting AS9100 / IATF 16949 and customer audit requirements | Legal obligation; legitimate interests |
Where we rely on legitimate interests, we have assessed that our interest in promoting and operating a B2B manufacturing business does not override your rights. You may object at any time (Section 9).
5. Cookies and tracking technologies
We use only strictly necessary cookies — those required for the websites to function and remain secure. They are set automatically and do not require consent.
We do not use website analytics cookies, advertising or retargeting cookies, or third-party tracking pixels on imgears.com or imgearsindia.com. We do not operate the LinkedIn Insight Tag or any equivalent tag. Our LinkedIn advertising is limited to Lead Gen Forms hosted on LinkedIn’s own platform (see Section 6), which do not place cookies on our websites.
You can block or delete cookies through your browser settings; strictly necessary cookies being blocked may prevent parts of the sites from working.
6. LinkedIn advertising and Lead Gen Forms
We advertise on LinkedIn using Lead Gen Forms. These forms are hosted and served by LinkedIn on LinkedIn’s platform, not on our websites.
If you choose to submit a Lead Gen Form for IM Gears, LinkedIn pre-fills it from your LinkedIn profile and transfers the fields you submit to us — typically your name, business email address, job title, company name, company size, industry and country. LinkedIn’s own collection and use of your data is governed by the LinkedIn Privacy Policy at https://www.linkedin.com/legal/privacy-policy. Once the data reaches us, we act as an independent controller for it.
We use Lead Gen Form data to respond to your enquiry, to assess whether our gear manufacturing capabilities fit your requirement, and — where you have opted in — to send you occasional capability updates and event invitations. You can unsubscribe from marketing email at any time using the link in any message, or by writing to [email protected].
LinkedIn also provides us with aggregated, non-identifying campaign performance reporting. You can manage how LinkedIn uses your data for advertising in your LinkedIn account settings.
7. Who we share data with
- Service providers acting on our instructions: website hosting, email delivery, and IT support. All are bound by contract to process data only for our purposes.
- Group companies and facilities, including our operations in India and Morocco, for order fulfilment and customer support.
- Professional advisers, auditors and certification bodies where required.
- Authorities, where required by law, export control regulation, or to protect our legal rights.
We do not sell or rent personal data.
8. International transfers
We are headquartered in India and operate a facility in Morocco. Personal data you provide may be transferred to, stored in, and accessed from India, Morocco, the European Union, the United States and other countries where our service providers operate.
Where we transfer personal data out of the EEA or UK, we rely on the European Commission’s Standard Contractual Clauses (and the UK Addendum where applicable), together with supplementary measures where required. Transfers involving our Morocco operations are handled in line with Moroccan Law 09-08 and CNDP requirements. A copy of the relevant safeguards is available on request from [email protected].
9. Your rights
Depending on where you are located, you may have the right to:
- access the personal data we hold about you;
- correct inaccurate or incomplete data;
- request erasure of your data;
- restrict or object to processing, including direct marketing and profiling;
- receive your data in a portable format;
- withdraw consent at any time, without affecting processing already carried out;
- lodge a complaint with the data protection authority in your country, including your EU/UK supervisory authority or the CNDP in Morocco.
To exercise any right, contact [email protected]. We will respond within 30 days and may ask you to verify your identity. If you are not satisfied with our response, you may raise a grievance with the data protection and grievance contact named in Section 1, who is responsible for addressing complaints about how we handle personal data.
California residents. We do not sell or share personal information as those terms are defined under the CCPA/CPRA. You may request disclosure or deletion of personal information at the address above and will not be discriminated against for doing so.
10. Retention
We retain enquiry and marketing data for 24 months from your last interaction with us, unless you ask us to delete it sooner. Customer, supplier and contract records are retained for 8 years to meet Indian statutory, tax and AS9100 / IATF 16949 traceability requirements. Server log data is retained for 90 days.
11. Security
We maintain technical and organisational measures appropriate to the risk, including access controls, encryption in transit, network segmentation, supplier due diligence, and staff training. No system is completely secure; we will notify you and the relevant authority of a personal data breach where required by law.
12. Children
Our website and services are directed to business professionals. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us data, contact [email protected] and we will delete it.
13. Third-party links
Our site links to third-party websites, including LinkedIn and customer or partner sites. We are not responsible for their privacy practices and encourage you to read their policies.
14. Changes to this policy
We may update this policy from time to time. The current version will always be posted at https://imgears.com/privacy-policy/ with the revision date at the top. Material changes will be notified by prominent notice on our websites.
